Hear the AI receptionist

Your AI receptionist, priced in pounds

How it works for a UK business

  • Answers in your business name

You choose its name, voice and greeting. We write the script with you in UK English, from your services, prices, opening hours and the postcodes you cover.

  • Books into your diary

It follows your availability and booking rules and confirms the booking with the caller. Calendar and CRM connections come with Growth and Pro.

  • Puts urgent calls through

You set the rules: emergencies, sensitive calls and anyone who asks for a person go straight to you or your team.

  • Captures every enquiry

Name, number and what the caller needs, every time. Growth and Pro add a summary and a transcript of each call.

  • Says it is an AI

The greeting tells callers they are speaking to an AI assistant, says why calls are recorded if you record them, and offers a person.

  • Phone setup

Ask us about phone setup on your free call. How the receptionist connects depends on your number and provider, and we will tell you plainly what works before you commit.

Built for tradespeople, practices and salons

Three example calls, written to show the flow. Your receptionist follows your own rules, wording and prices, and passes anything outside them to you.

Heating engineer, 9.40pm

An out-of-hours boiler call

  1. AI

Good evening, [your business]. I’m the firm’s AI assistant, and calls are recorded so we get your details right. How can I help?

  2. Caller

Our boiler’s stopped. No heating, no hot water.

  3. AI

Sorry to hear that. What’s the postcode at the property?

  4. Caller

    LS6, in Headingley.

  5. AI

Thanks, that’s in the area we cover. Is anyone at home elderly, unwell or with a young baby?

  6. Caller

    My mum’s staying with us. She’s 84.

  7. AI

Then I’ll put you through to the engineer on call now. If we get cut off, they’ll ring you straight back on this number.

Dental practice, Monday morning

A new patient enquiry

  1. Caller

Hi, I’d like to register as a new patient. I’ve also had toothache for a few days.

  2. AI

I can help you register and book a first appointment. Is that for NHS or private treatment?

  3. Caller

    Private is fine.

  4. AI

I can’t give clinical advice, so I’ve noted the toothache for the team. I have Tuesday at 9.20am or Wednesday at 2.40pm.

  • Booked the new patient appointment
  • Gave no clinical advice and flagged the toothache for reception
  • Passes anything outside its rules to your front desk

Hair salon, Thursday

Rebooking with a deposit

  1. Caller

Can I move my colour appointment from Saturday?

  2. AI

Of course. I have Friday at 4pm or next Saturday at 11am with the same stylist.

  3. Caller

    Next Saturday, please.

  4. AI

Done. Your deposit moves with the booking, and you’ll get a confirmation with the new time.

  • Moved the booking without a call back
  • Kept the deposit with the new time, as your policy says
  • Sends the confirmation in your salon’s name

UK rules, explained plainly

What UK law and the ICO expect from an AI receptionist, a website and your marketing, and what we build in from the start.

General information, not legal advice. Checked against ICO guidance in October 2026. The ICO says its telephone marketing guidance is under review after the Data (Use and Access) Act, so check the latest before a campaign.

  • Tell callers it is an AI

The UK has no general law yet like the EU AI Act’s duty to disclose AI. UK GDPR still asks you to be fair and open about how you use people’s information, and callers trust a receptionist that is upfront. Ours says it is an AI in the greeting and offers a person. If you serve customers in the EU, for example in Ireland, the EU AI Act can apply to you as well, because it covers AI whose output is used in the EU.

  • Call recording

If you record calls, tell callers at the start that you record and why. The ICO calls a recorded message good practice, and the rest of your privacy information can sit behind a link, for example on your website. UK law lets businesses record calls on their own systems for legitimate business purposes, such as keeping accurate records, when they make reasonable efforts to tell callers that calls may be recorded. Keep recordings only as long as you need them.

  • UK GDPR

Give callers and customers privacy information: what you collect, why, how long you keep it and who it is shared with. Have a lawful basis for each use, and a data processing agreement with anyone who handles personal data for you. When we host or run your system, we sign one on request, keep data for as long as you decide and let you answer access and erasure requests from one place.

  • Sales and marketing calls

We build the receptionist to answer calls and send service messages, such as confirmations and reminders. Marketing calls are different. Automated marketing calls need specific prior consent under PECR, and the ICO says general marketing consent is not enough. Live sales calls must be screened against the Telephone Preference Service (and the Corporate TPS for businesses). Since February 2026, PECR fines can reach £17.5 million or 4% of global turnover, in line with UK GDPR.

  • Cookies on your website

Since 5 February 2026, the Data (Use and Access) Act 2025 lets a website set cookies for statistics, and for remembering how the site looks, without asking first, as long as visitors are told and can opt out simply and for free. Advertising and tracking cookies still need consent. We set up your cookie banner to match.

  • Data between the UK and the EU

Personal data can flow from the EU to the UK without extra transfer safeguards: the EU renewed its UK adequacy decisions in December 2025, and they now run to December 2031. We can host your website, booking system or CRM in a UK or EU region on request.

Working with us from the UK

OWNIT is a US company, OWNIT Software LLC, with a mailing address in Dover, Delaware. We work with UK businesses remotely and have no UK office. Here is what that means in practice.

Talk to us

Both are US numbers. WhatsApp works from any UK mobile, or book a free call in UK time.

  • Invoiced in pounds

Quotes and invoices in pounds, matching the prices on this page, with the price fixed in writing before we start.

  • VAT

Our prices exclude VAT. When a business outside the UK supplies services to a VAT-registered UK business, the customer usually accounts for any VAT under the reverse charge. Many sole traders are not VAT-registered, so ask your accountant how this applies to you.

  • Calls in UK time

Book a free call and the calendar shows times in your own time zone. We reply within 24 hours.

  • Hosting and data

Hosted in a UK or EU region on request, in accounts in your name, with a data processing agreement on request.

  • Everything in your name

Code, data, domains and accounts are yours. If you ever leave, you take it all with you.

  • Written in UK English

Websites, scripts and greetings in UK English: enquiries, postcodes, mobiles and diaries, not ZIP codes and cell phones.

AI receptionist or a virtual receptionist service?

Both answer your phone when you cannot. They suit different businesses, so here is a fair comparison.

Compared onAI receptionistVirtual receptionist service
How you payA one-time setup, then a monthly plan based on call minutes.Usually a monthly fee, or a charge per call or per minute, which grows with your call volume.
HoursEvery call, day and night, including several calls at once.Depends on the plan. Evening, weekend and bank holiday cover varies by service.
BookingsBooks straight into your diary, using your rules.Often takes a message for you to ring back, unless the service is given access to your diary.
Unusual or emotional callsFollows your rules and passes anything outside them to a person.A trained person handles nuance and judgement better.
ConsistencyThe same answers every time, from your prices and FAQs, updated when you change them.Depends on who picks up. Shared receptionists often cover many businesses.
Best forOwners who miss calls on jobs or out of hours and want bookings, not just messages.Businesses whose callers need a person on every call, or very complex enquiries.

Many businesses use both: the AI answers and books, and passes the tricky calls to a person. Read more in AI Receptionist vs Answering Service vs Virtual Receptionist.

Questions from UK businesses

Straight answers on prices, VAT, calls and data. Anything else, ask us on a free call.

Do your prices include VAT?

No. Every price on this page excludes VAT, where it applies. When a business outside the UK supplies services to a VAT-registered UK business, the customer usually accounts for any VAT under the reverse charge. Many sole traders are not VAT-registered, so check with your accountant how this applies to you.

Can I keep my existing phone number?

Ask us about phone setup on your free call. How the receptionist connects depends on your number and your provider, and we will tell you plainly what works for your business before you commit to anything.

Will callers know they are speaking to an AI?

Yes. We build the disclosure into the greeting, for example “I’m the AI assistant for [your business]”, and callers can ask for a person at any time. The UK has no law yet like the EU AI Act’s disclosure duty, but UK GDPR expects you to be open about how you use people’s information, and callers trust it more.

Can it record calls, and is that legal in the UK?

It can, and you can switch recording off. UK businesses may record calls for legitimate business purposes, such as keeping accurate records, when they make reasonable efforts to tell callers. We put a short recording notice in the greeting that says why you record, and you choose how long recordings are kept. This is general information, not legal advice.

Is it UK GDPR compliant?

We build it to be UK GDPR-ready: privacy information in the greeting or on your website, a data processing agreement on request, retention you set, and access and erasure requests handled from one place. Compliance also depends on how your business uses it, so we work alongside your adviser rather than certifying it.

Can it make sales calls for me?

It is built to answer calls and send service messages, such as confirmations and reminders. Automated marketing calls need specific prior consent under PECR, and live sales calls must be screened against the Telephone Preference Service. If outbound follow-up is part of your plan, we set it up around those rules with you.

Where is our data stored?

In accounts in your name, in the region you choose. We can host your website, booking system and CRM in a UK or EU region on request, and we list every service that handles personal data for you. Some AI model providers may process data outside the UK; we flag those and the safeguards they offer before you decide.

Will it book into my diary or job management software?

It books into your calendar, such as Google Calendar, using your availability and booking rules. Calendar and CRM connections come with Growth and Pro. If your job management software has an API, we can usually connect it, and we will tell you on the call if something cannot be done.

Do you have a UK office?

No. OWNIT is a US company, OWNIT Software LLC, that works with UK businesses remotely. We book calls in UK time, reply within 24 hours and invoice in pounds.

How long does setup take?

Usually 2 to 4 weeks from kick-off for the AI receptionist, depending on your call flows and the tools it connects to. Websites take 1 to 2 weeks for Launch, 2 to 4 weeks for Growth and 4 to 7 weeks for Scale. We test everything with you before it goes live.
